Before the Contest
  • Obtain biographical information on the Master of Ceremonies
  • Advise the Master of Ceremonies and the Chief Judge to brief the participants Obtain the list of specific door prizes to be given out at the contest. Obtain a full list of all door prizes for acknowledgement during the contest.
  • Determine who, with the MC, will advise the audience to review the programme insert for the acknowledgement which lists all sponsors and door prize donors and encourage the audience to support the businesses and individuals who have supported Golden Gavel.
  • Sign all the participation and finalist certificates
  • Obtain the Golden Gavel trophy. Ensure the trophy is on the head table.
  • Obtain all the individual trophies and keep them on hand close to the head table.
  • Decide in advance, with the MC, who will advise the audience to review the brief history of the Golden Gavel on the back of the programme.
During the Contest
  • Bring the contest to order at the appointed start time.
  • Make any opening remarks brief, welcome everyone to the contest.
  • Housekeeping - advise of exits, washroom locations, remind people to turn off beepers, watches etc. Include a mention that access to the kitchen area is limited to Facilities people only re: Food Safe requirements.
  • Remind everyone not to leave or enter the room during speeches, or to turn around to look at the lights during the contest.
  • Request closure of the outside door.
  • Advise the audience to review the programme insert for the acknowledgement list of all sponsors and door prize donors. Encourage them to support the businesses and individuals who have supported Golden Gavel (if this has been determined in advance with MC that the Chair would perform this function)
  • Mention survey completion and draw for prize at the Finals.
  • Introduce the Master of Ceremonies.
Chair at the Break
  • Ensure all participation certificates (in speaking order) and individual trophies are on the head table, ready for presentation.
  • Obtain the finalist certificates and book prize from the Chief Judge as soon as possible. If the Chief Judge returns after the meeting has reconvened following the break, ensure you receive the certificates and put them in reverse order, 3, 2, 1. At the finals do the same, plus ensure you have the finalist trophies/book etc ready as well as have the Golden Gavel trophy easily available.
After the break
  • When asked, assist the Master of Ceremonies in awarding certificates, trophies and announcing the winners. Determine this ahead of time by talking to the MC so that the process flows and is seamless to the audience.
  • At the finals, remind top finalists we will need the trophies back for engraving and will contact them when ready.
  • MC will call Chief Judge to thank their team (chief judge thanks by “title” not individual names ~~~~~ judges, shadow judge if applicable, ballot counters, timers, awards and printing, calligrapher and photographer/videographer)
  • MC will then thank the other support roles (Sgt. at arms, any greeters, persons manning the door, facilities, and thank all sponsors and door prize donors as noted in the programme insert. For the finals, acknowledge ALL sponsors and door prize donors as noted in the programme insert list of sponsors and door prize donors.
  • Then the MC will return control of the contest to you as Chair
  • Thank the Master of Ceremonies.
  • Thank the audience for coming out in support of the speakers and encourage them to come back and bring their friends.
  • Remind the audience of the next prliminary contest date/time.
  • Remind the speakers that the top 3 finalists will go forward to the finals on February 27, 2016 with a NEW speech.
  • Ask people to complete the survey if they haven’t had the opportunity yet.
At the Finals
  • If not done by the MC before then return control of the meeting to you. (confirm in advance who will mention)
  • Thank the audience for coming out in support of the speakers and encourage them to come back and bring their friends next year.
  • Acknowledge and thank the Golden Gavel Committee.
  • Make any additional brief closing remarks necessary – BUT ensure Chair makes the last “thanks” to the speakers for making the whole event possible and call for one last acknowledgement for the contestants.
  • Adjourn the contest. Wish all safe journey home.
